Visa Document Support

Before applying for support:

Japan implements visa exemption measures for some countries and regions for short-term stays. Please check the following website for visa exemption countries and regions.

*Please note that even exempt countries or regions may require a visa depending on the type of passport, as stated in the Notes on the website.

For those who wish to apply for support:

Applicants must meet all of the following conditions to apply for support:

1. You are one of the author(s) of an accepted abstract.
2. You have completed the online registration and payment.

* Accompanying persons of the applicant who meets all the above requirements (limited to legal spouse or children) are also eligible for visa document support if their itinerary is the same as the applicant.
* ICSCRM2026 may decide whether to accept the application (i.e. to provide a guarantee for visa documents).

Visa support fees:

- Applicant JPYXX,XXX
- Accompanying person JPYXX,XXX

*The fees do not include the actual visa issuance fee.
*The fees are per person.
*The fees are non-refundable for any reason.

The following documents will be issued to the applicants who meet all of the above conditions and have paid the visa support fee:

- Invitation Letter
- Letter of guarantee
- Letter of reason for invitation
- Schedule of stay
- Certificate of Employment of the guarantor

* All the documents will be sent by email.

Visa guarantee period:

The maximum guarantee period is as below.

From 25 September to 4 October, 2026 (maximum period)

*If you wish to extend your stay before or after the guaranteed conference period, please consider a visa category that does not require ICSCRM2026’s guarantee such as tourist visa.

* Since obtaining a visa may take time, we recommend that you first contact the Japanese Embassy/Consulate General where you live to check the detailed procedures and what documents you will need (you may need to make an appointment).
(In addition to the documents prepared by the inviting person/guarantor in Japan, you may be required to present some documents or submit the original documents. However, as it depends on the local decision, please check with the Embassy/Consulate General).

* Please also check that your passport has sufficient remaining validity.
(If the remaining validity is less than 6 months on the date of your arrival in Japan, please check with the Embassy/Consulate General whether you need to obtain a new passport.)

* Please note that the documents to be prepared for your visa application do not guarantee that you will be granted a visa to enter Japan.
Application to the Japanese Embassy or Consulate General of Japan should be made at your own responsibility. Fees to be paid to the Japanese Embassy or Consulate, transportation and any other expenses are the responsibility of the applicant. ICSCRM2026 will not be responsible for this or any cancellation fees such as travel expenses, hotel expenses, etc. caused by not being able to obtain a visa.

* If you are coming to Japan via another country, please confirm in advance whether you need a transit visa, as this will also be your responsibility.
